The campus spans 430 acres with over 40 buildings. The 27,000 students represent all 50 states and over 80 countries. Challenges • There was little to no insight into actual spend, status, and how much was left in a project budget. • The BYU-Idaho team would spend weeks gathering data from disparate systems and documents to try to gain financial visibility into each project; by the time the data was gathered, it was outdated. • Document management was far from efficient. Access to current and historic documentation was based on a chaotic paper filing system, and in some cases, documents were lost altogether. • Processes across entire projects were not consistent and were not being followed, causing a breakdown in communication and lack of efficiency. • There was no easy way to confidently forecast future expenses; information transparency was lacking. • BYU-Idaho initially chose a competitive solution, which soon after was replaced with e-Builder based on overall solution offering. Profile • The department of Planning, Architecture & Construction Management services is composed of 8 full-time employees and two part-time employees. • The team includes a director, campus architects, construction project coordinators and an e-Builder administrator. • The 2.1 million square foot campus is home to 27,000 students including online students. • Since 2001 the campus has doubled in size and plans to remodel a significant amount of square footage each year. • There are approximately 40-60 projects per year that range from office remodels, tenant improvements, infrastructure improvements, major renovations, and major replacements to new buildings.
