The Port had very specific reasons for procuring a construction program management system and that was to eliminate the plethora of spreadsheets and save time. The Port needed one consolidated place for all information, whether it was documents, contracts, billings, spreadsheets, etc. Linda Shilley, Contract Administrator for the Port of Olympia, said, "It was taking us a lot of time to manage several different systems." With the workload and limited data accessibility adding up, Linda explained, "We needed one version of the truth." She continues, "Prior to e-Builder, it was all a manual database entry so we are now saving a lot of time." In addition, the organization is moving towards electronic approvals which will further reduce time spent on manual work. The Port is now able to manage budgets across one project or the entire capital program. Creating, tracking and reviewing budgets during different phases of the project can easily be achieved. Shilley said, "Having controls on the spend down and commitments, and tracking them, has been great." The Port's average submittal review time with e-Builder is now less than a week. The Port of Olympia is also utilizing e-Builder for forecasting, reporting, maintaining compliance requirements and much more. Tyson Carpenter, Project Manager at the Port of Olympia said, "e-Builder's project management software has been a valuable tool for managing projects. It allows us to have all of the project information, tasks, documents, cost and correspondence available through one program, updated in real-time and accessible by entire project teams at any time and from anywhere an internet connection is available." He adds, "I particularly like how it increases accountability, and often decreases response time, by making it easy to see who is responsible for an item, when it is due, automatically logging when items are received or actions are taken and the person that performed the action." e-Builder Enterprise gives the Port a centralized location for all project data, as well as automated workflow to keep all key project members in the loop at all times with the most current and up-to-date information.
